1. Introduction

HiveComplete ("we", "us", "our") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data.

2. Information We Collect

Account Information

When you register, we collect your name, email address, and password (stored securely using bcrypt hashing). If you join an organization, we store your membership role and status.

Beekeeping Data

You may enter inspection records, treatment records, harvest data, hive information, apiary locations, and photos. This data is stored to provide the core functionality of the Platform.

Usage Data

We collect basic usage data including page views, feature usage, and error reports to improve the Platform. We use Sentry for error tracking, which may collect device information and browser details when errors occur.

Payment Information

Organization billing is processed through Stripe. We do not store credit card numbers. Stripe's privacy policy governs the handling of payment data.

3. How We Use Your Information

• Provide and maintain the Platform
• Authenticate your identity and manage sessions
• Send transactional emails (password resets, verification, notifications you've opted into)
• Generate anonymized, aggregate research data (only if you opt in — see our Data Agreement)
• Improve the Platform through usage analytics and error tracking
• Comply with legal obligations

4. Data Storage and Security

Your data is stored on PostgreSQL databases hosted by Railway. Files and photos are stored on Cloudflare R2. All data is encrypted in transit (TLS) and at rest. We implement access controls, audit logging, and regular security reviews to protect your information.

5. Data Sharing

We do not sell your personal information. We share data only in the following circumstances:

• Within your organization: Organization administrators and mentors can see data you share within that organization, based on your role and the organization's module configuration.
• Research data: If you opt in, anonymized and aggregated data may be shared with researchers. See our Data Agreement for details.
• Service providers: We use Stripe (payments), Postmark (email), Cloudflare (file storage), Railway (hosting), and Sentry (error tracking). Each processes data only as necessary to provide their service.
• Legal requirements: We may disclose data if required by law, court order, or government request.

6. Data Retention

We retain your data as long as your account is active. User-facing data uses soft deletes (marked as deleted but retained for a grace period). After account deletion, we permanently remove your personal data within 90 days. Anonymized research data that has already been aggregated is not affected by account deletion.

7. Your Rights

You have the right to:

• Access: View all data associated with your account
• Correction: Update inaccurate information through your profile and settings
• Deletion: Delete your account and associated data through your settings page
• Data portability: Export your data (feature available in your account settings)
• Withdraw consent: Opt out of research data sharing at any time through your settings

8. Cookies and Local Storage

We use session cookies to maintain your authenticated state. We use local storage for offline functionality (inspection and treatment data entered while offline). We do not use tracking cookies or third-party advertising cookies.

9. Children's Privacy

The Platform is not intended for children under 16. We do not knowingly collect data from children under 16. If we learn we have collected such data, we will delete it promptly.

10. Changes to This Policy

We may update this policy from time to time. When we do, we will update the effective date and notify you through the Platform. Continued use after changes constitutes acceptance. If we make material changes, we will require you to re-accept the updated policy.
